Executive Administrative Assistant
Ability to interface well with all departments of the company and to represent the President in a highly professional manner. To maintain the highest level of confidentiality. Multi-task oriented.
Responsibilities of Executive Administrative Assistant
- Screens incoming calls and correspondence and responds independently when possible.
- Organizes programs, events, meetings or conferences by arranging facilities and caterers, issuing information or invitations, coordinating speakers and controlling event budget.
- Performs complex and confidential secretarial functions including developing and typing written correspondence. Responds to routine external correspondence. Types memos, purchase requisitions, payment requests and other department forms and documents.
- Creates and maintains database and spreadsheet files.
- Provides back-up support to Accounting and Human Resource Departments.
- Sends faxes as requested by president.
- Makes photocopies as request by president.
- Maintains various database and spreadsheet files as requested by president.
- Performs other duties as assigned.
- Screens incoming calls and correspondence and responds independently when possible.
- Maintains confidentiality of all corporate, personnel and research matters.
- Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.
- Administer travel system and assign travel related expenses as they arrive.
- Prepares board materials.
- Records and transcribes minutes for monthly management meeting.

Education and Experience:
- Two years of college or equivalent.
- At least five years assisting executive level personnel.

Job description and responsibilities:
The Supervisor, Creative Services is an Art Director type position for someone who also possesses mentoring capabilities. The ideal candidate will be a seasoned design pro with 10+ years of experience in solving design challenges, including extensive web design experience for solo e-mails, web banners, online newsletter ads, etc. The Supervisor, Creative Services is responsible for managing three design professionals, the design team's workflow and all of the company's design activities, which are developed to recruit prospective students. This includes providing direction, guidance and mentoring to the design team members in all areas including:
- Creating, versioning and editing projects and prepping them for production.
- Printing, cutting and assembling samples for in-house proofing.
- Creating templates
The Supervisor, Creative Services will handle the following:
- Creative development of the design team's most challenging work (e.g. - billboard, transit and print branding advertising campaigns, marketing, brochures, trade show booth designs, etc.)
- Day to day management of three designers and the team's workflow.
- Creating design templates (solo e-mails, web banners, print ads, etc.) to meet requirements for new advertising efforts.
- Make sure that all design work produced meets or exceeds company design standards prior to delivery to marketing staff and/or to vendors.
- Proactively manage the resources and workflow of the department so as to make sure that all deadlines are met with high quality work that builds the Drexel Online brand.
Proficiency level of key programs:
The Supervisor, Creative Services is expected to be highly proficient in a wide array of programs including:
- Quark
- Dreamweaver
- Photoshop
- Illustrator
- Flash
- Fireworks
- HTML
- CSS
- InDesign
Key Skills and Traits
- 10+ years design experience with at least two years experience managing two or more designers.
- Able to visualize the design solution to the problem at hand and articulate the solution and key challenges to marketing and other key stakeholders.
- Well versed in the design principles for both print and web materials.
- Highly creative with a proactive approach to problem solving and a strong work ethic.
- Ability to thrive in a fast paced working environment with a high volume of design requests requiring relatively quick turnaround time.
- Strong organization skills with a proven track record of delivering on all commitments without letting any projects slip.
- Strong interpersonal skills and negotiating skills. Able to articulate their viewpoint. Pleasant disposition.
- Strong time management with the ability to meet deadlines and multi-task.
- Team player.
- Enjoys mentoring junior design staff.
- Holds a Bachelors/Associates degree in one of the following areas: Graphic Design, Advertising, Communications, Information Technology, E-commerce, or equivalent work experience
